Terms of Service

Last updated: October 20, 2026

The short version

1. Agreement

These terms are an agreement between you and Autana Solutions ("we", "us"), the operator of Northbooks. By creating an account or using Northbooks you accept them. If you use Northbooks for a business, you confirm you are allowed to accept these terms on its behalf, and "you" includes that business.

2. Your account

3. What Northbooks does, and doesn't do

Northbooks records transactions, calculates sales tax and payroll deductions from published government rates and formulas, and produces reports and filing-ready figures. It does not file returns, remittances, T4s or other documents with the Canada Revenue Agency or any provincial authority, and it does not hold or move your money.

Tax rules change, and every business is different. Northbooks is not legal, tax or accounting advice. You are responsible for reviewing what Northbooks produces, for the accuracy of what you enter, and for filing and paying taxes, remittances and employee pay correctly and on time. Consider working with a qualified accountant.

4. AI features

Some features use AI to read receipts and bills or suggest categories. AI can make mistakes. Northbooks checks the arithmetic and shows you the results to review, and nothing is posted until you or a rule you set up approves it. Please check what you approve.

5. Your data

You own the data you put into Northbooks. You give us permission to store, process and transmit it only as needed to provide and secure the service, as described in our Privacy Policy. You can export your data at any time. If you enter information about other people, such as employees or customers, you are responsible for having the right to do so and for telling them as the law requires.

6. Acceptable use

Don't use Northbooks to break the law, to commit fraud or tax evasion, to send spam, or to store information you have no right to hold. Don't try to access other customers' data, probe or overload the service, or get around its security or usage limits. We may suspend accounts that do, and will tell you why unless the law prevents it.

7. Fees

Northbooks is free during early access. If we introduce fees, we will email account owners at least 30 days before they apply. You can then choose to pay, or export your data and close your account before any charge.

8. Availability and changes

We work to keep Northbooks running and your data safe, including regular backups, but we can't promise the service will be uninterrupted or error-free. We may add, change or remove features. If we stop offering Northbooks, we will give at least 60 days' notice so you can export your data.

9. Ending your account

You can stop using Northbooks and delete your organization at any time, except that payroll records are kept for the period Canadian law requires (see the Privacy Policy). We may close an account that breaks these terms, after notice where reasonable, and will give you a chance to export your data unless the law or a serious risk to others prevents it.

10. Warranties and liability

To the extent the law allows, Northbooks is provided "as is", without warranties of any kind, including fitness for a particular purpose. To the extent the law allows, we are not liable for indirect or consequential losses, or for penalties, interest or tax assessed because of filings or payments based on figures you did not review. Our total liability for any claim relating to Northbooks is limited to the greater of the fees you paid us in the 12 months before the claim and CA$100. Nothing in these terms limits liability that cannot be limited by law.

11. Changes to these terms

We may update these terms. We will change the date above, and for important changes we will email account owners at least 30 days before they take effect. Continuing to use Northbooks after that means you accept the new terms.

12. Governing law

These terms are governed by the laws of British Columbia and the federal laws of Canada that apply there. Any dispute will be handled by the courts of British Columbia, unless the law where you live gives you the right to a different forum.
